Case Study

Hampton Roads company thought data backups were happening daily,
but learned none were accomplished for 1 year

The IT Problem
KC3 IT Services received a call from a Hampton Roads firm stating that their server had crashed.

Our IT company determined that a close-proximity lightening strike had affected the server. After troubleshooting their IT system and running diagnostics, our IT technician determined that the server hard drives had suffered damage from the strike. This is not the end of the world as long as your remote data backup system or manual data backup system is working correctly.

However, for this Hampton Roads firm, its data disaster recovery plan was not thought out well, and it cost them. Their data recovery plan called for a daily backup download, followed by one employee swapping out backup tapes each day. That part of the plan was fine.

It was the next part that unnecessarily cost the firm time, money and effort. To the non-IT employee swapping out the backup tapes, everything appeared to be working well. But when the data restoration was attempted from the backup tapes, it was discovered that the backups had not actually run for approximately 1 year! This is close to the end of the world, and can be a huge hurdle for a company to overcome.

Most businesses in Virginia Beach, Norfolk, Chesapeake, Portsmouth, Suffolk, and Hampton Roads, Virginia have some form of data backup, but please ensure it’s actually working. A light flashing on and off, may just be that – a light flashing on and off.

The IT Solution
With the backup tapes basically useless to the firm’s owner, we shipped off the hard drives to have a data recovery attempted. After several thousand dollars to recover the data, only 85% of the data was recoverable because the hard drives had numerous damaged clusters preventing some of the data from being recovered.

Some of the information that could not be recovered was their accounting data; not only payroll information, but billing information that had not yet been invoiced. However, recovering 85% of all the data was a relief to the owner and employees – especially the backup person.

Our IT outsourcing firm was also hired to procure a new server and set it up.

The IT Result
This Hampton Roads firm learned their lesson the hard way, but KC3 IT Services got them back up and operational in record time.

If you are a small- to medium-sized business in Virginia Beach, Norfolk, Chesapeake, Portsmouth, Suffolk, or Hampton Roads without and IT technician on staff, you could benefit from IT outsourcing on an hourly basis. Because this firm did not have a knowledgeable person to decipher their backup logs, it did not know the backups were not working for 12 months.
